1. Acceptance of Terms

Welcome to Global Trade Connect ("GTC", "we", "our", or "us"). These Terms of Use ("Terms") constitute a legally binding agreement between you and Global Trade Connect governing your access to and use of our website, event registration platform, delegate services, and all related services (collectively, the "Services").

By accessing our website, registering for an event, purchasing a delegate pass, or otherwise using our Services, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference. If you are using our Services on behalf of an organisation, you represent and warrant that you have the authority to bind that organisation to these Terms.

If you do not agree to these Terms, please do not access or use our Services. We reserve the right to update these Terms at any time, and your continued use of our Services following any such update constitutes your acceptance of the revised Terms.

2. Description of Services

Our Services include, but are not limited to:

Delegate Registration: We provide an online registration portal enabling individuals and organisations to register as trade delegates, government officials, exhibitors, media representatives, speakers, sponsors, or observers.

Delegate Pass Sales: We facilitate the purchase of delegate passes (Standard and Premium tiers) for our flagship events, processed securely through our payment partner, Stripe.

Invitation Letters & Visa Assistance: For registered delegates, we provide official invitation letters to support visa applications to host countries. This service is provided as a courtesy and does not guarantee visa approval, which remains at the sole discretion of the relevant immigration authorities.

Accommodation Booking: We facilitate accommodation enquiries and reservations at partner hotels for event delegates.

B2B Matchmaking: We provide tools and facilitated sessions to connect delegates with compatible business partners, subject to delegate consent and participation.

Conference Directory: We maintain a curated directory of international trade conferences across multiple sectors and regions for informational purposes.

3. Registration & Account Responsibilities

Eligibility: Our Services are intended for business professionals aged 18 years or older. By registering, you represent that you meet this eligibility requirement and that all information you provide is accurate, current, and complete.

Account Security: You are responsible for maintaining the confidentiality of any account credentials and for all activities that occur under your account. You agree to notify us immediately at [email protected] if you suspect any unauthorised use of your account.

Accurate Information: You agree to provide truthful, accurate, and complete information during registration and to update your information promptly if it changes. Providing false or misleading information may result in the cancellation of your registration without refund.

Professional Conduct: You agree to conduct yourself professionally and respectfully in all interactions with GTC staff, fellow delegates, exhibitors, and other participants — both online and at our events. We reserve the right to remove any participant whose conduct is deemed disruptive, offensive, or contrary to the spirit of international trade cooperation.

Prohibited Uses: You agree not to use our Services for any unlawful purpose, to transmit spam or unsolicited communications, to impersonate any person or organisation, to engage in any activity that could harm our platform or other users, or to attempt to gain unauthorised access to any part of our Services.

4. Payments, Cancellations & Refunds

Delegate Pass Purchases: All delegate pass purchases are processed in United States Dollars (USD) through our secure payment partner, Stripe. By completing a purchase, you authorise GTC to charge the applicable fees to your designated payment method.

Pricing: Prices displayed on our website are inclusive of all applicable service fees unless otherwise stated. Prices are subject to change without notice prior to purchase. Once a purchase is confirmed, the price is fixed.

Cancellation by Delegate: - Cancellations made more than 90 days before the event date are eligible for a full refund, less a 10% administrative fee. - Cancellations made between 30 and 90 days before the event date are eligible for a 50% refund. - Cancellations made less than 30 days before the event date are non-refundable. - All cancellation requests must be submitted in writing to [email protected].

Pass Transfers: Delegate passes may be transferred to another individual within the same organisation at no charge, provided the transfer is requested at least 14 days before the event. Transfers to individuals outside the original organisation may be subject to an administrative fee.

Event Cancellation or Postponement by GTC: In the unlikely event that GTC cancels or postpones an event due to circumstances beyond our reasonable control (including but not limited to natural disasters, pandemics, government restrictions, or force majeure events), we will offer affected delegates the choice of a full refund, a credit toward a future event, or transfer to an alternative event date. GTC shall not be liable for any additional costs incurred by delegates, including travel, accommodation, or visa costs, in the event of cancellation or postponement.

Chargebacks: If you initiate a chargeback with your payment provider without first contacting us to resolve the issue, we reserve the right to suspend your access to our Services pending resolution.

5. Invitation Letters & Visa Assistance

Nature of Service: GTC provides official invitation letters to registered delegates to support visa applications to host countries (UAE, Kenya, Singapore). This service is provided as a courtesy to facilitate delegate attendance and does not constitute legal advice or immigration assistance.

No Guarantee of Visa Approval: The issuance of an invitation letter by GTC does not guarantee visa approval. Visa decisions are made exclusively by the relevant immigration authorities of the host country and are subject to each country's immigration laws and policies. GTC accepts no responsibility for visa refusals or delays.

Delegate Responsibility: It is the sole responsibility of each delegate to ensure they hold a valid passport, obtain the necessary visas, and comply with all entry requirements for the host country. We strongly recommend that delegates begin the visa application process well in advance of the event date.

Accuracy of Information: Invitation letters are issued based on the information provided during registration. You are responsible for ensuring that all information provided is accurate. GTC accepts no liability for invitation letters issued on the basis of inaccurate information provided by the delegate.

Withdrawal of Invitation: GTC reserves the right to withdraw an invitation letter if a delegate's registration is cancelled, if the delegate is found to have provided false information, or if the delegate's conduct is deemed contrary to the values and objectives of GTC.
